The “Swivel Chair” Problem

An apt metaphor, the swivel chair process describes what is probably the most prevalent problem that mandated brokers face daily - the “swivel” from the Policy Administration System (PAS) of each insurer to the corresponding Codeplex system, capturing data on the PAS, recapturing that same data on Codeplex, and then swivelling back to their PAS to complete the updates.

It is an inefficient and time-intensive way to process claims and more than that, it can be extremely difficult to manage. The recently launched Codeplex Binder solution is an efficient, user-centric, and cloud-based system that takes care of current complexities by combining world-class technologies into one ecosystem.

Solving the Bugbear of Mandated Claims Management

Codeplex Binder is a welcome innovation that gives the insurer complete control. Now they can run off-platform mandated claims in the same way as their on-platform claims while fundamentally enabling mandated brokers' claims efficiency.

How It Works

Codeplex Binder uses a central Application Programming Interface (API) integration that seamlessly exchanges data and performs actions across different Policy Administration Systems, and already includes most of the prominent PAS systems in use today.

This allows the mandated broker to use any insurance Codeplex system from their own PAS system in real-time, including bi-directional claim updates, without the need to double capture.

Here’s how it translates practically: at First Notice of Loss (FNOL), the claims technician would register a claim linked to an insurer, then open the insurer’s Codeplex within the broker’s admin system without the need to log in to an external system. The claim information is already populated via the integration, and all screens are seamlessly embedded in the PAS system. From here, the service provider is allocated (for example, a motor assessor or investigator) and the claims and policy schedules can be attached for the service provider to view. As an optional feature, damage photos can be requested from the client.

On assessment completion, the repairs are authorised and the assessor submits the Assessment invoice. The Motor Body repair progress is monitored at regular intervals for the duration of the repair. Once the repair is completed, the Assessor approves the Final Repair Cost (FRC), and the Motor Body Repairer invoice is submitted for payment. The system ensures that the amounts in the FRC and motor body repair invoice match.

This is all achieved without multiple logins, follow-up calls, or double capture.

“The beauty of this,” says Michael Rasch, Co-founder of Codeplex Software and Marshan Technologies, “is that while the claims technician may be interacting with multiple insurer Codeplex systems, the process is so seamlessly integrated that it feels like they’re never leaving their admin system.”

This is the Codeplex “switch”, something Mike likes to call a “fancy postman”. Opening a claim for a specific insurer immediately sends an instruction to the “switch”, which then routes the claims technician directly to the relevant insurer’s platform.

“It’s a powerful platform that gives you complete control,” says Mike.

The Rollout

Codeplex Software comes complete with a pre-integrated PAS community and has been designed for quick deployment. While the industry specific Codeplex Binder software may not need any big customisations, there is always the capability (and the deep domain knowledge and industry expertise of the Codeplex team) to tailor the system to the various nuances and functionalities required by the client.

The rollout process can often be surprisingly quick, and it always begins with an in-depth discovery and needs analysis phase, during which, it has often been said that the Codeplex team has the answers before the clients have the questions.

The implementation process includes a rigorous testing phase, as well as training and ongoing support.
